Who we are

KC Motors (Carrick-on-Shannon, Co. Leitrim) is the data controller for the personal information described in this notice. Contact: service@kcmotors.ie · 071 961 6809.

What we collect

• Booking details: name, phone, email, vehicle reg, make, model, requested service, notes.
• Service history: jobs, parts, photos, invoices, payments.
• Communications: SMS / WhatsApp / email exchanges, voicemail recordings & transcripts.
• Optional: NPS feedback (0–10 score & reason) when you choose to give it.

Why we use it

• To deliver the service you booked (legal basis: contract).
• To follow up on quotes, parts arrivals, ready-for-collection (legitimate interest, you can opt out anywhere in the portal).
• To send NCT & service-due reminders (legitimate interest, opt-out at any time).
• To improve service quality (NPS feedback) — this is optional and only fires when you click a score.
• To meet our accounting & legal obligations (Revenue / Companies Act).

Who we share it with

• Twilio — SMS / WhatsApp delivery + inbound voice calls.
• Resend — transactional email delivery.
• Stripe — payment processing for online deposits / collection payments.
• Cartell.ie — vehicle registration → make/model lookup (when the reg is supplied).
• Supabase — primary database hosting (EU region).
• Vercel — application hosting (EU region).
• Anthropic / OpenAI — AI assistance for summaries, voice transcription & intent classification. Per-call data isn't used for model training.

We never sell your data, and we never share it for marketing by third parties.

How long we keep it

• Booking + service records: 7 years (Revenue requirement).
• Voicemail recordings + transcripts: 90 days unless attached to an active job.
• Marketing-only data (NPS, opt-in lists): until you opt out.

Your rights

You can request a copy of your data, ask us to correct or delete it, or restrict its use. Use the Your data page or email service@kcmotors.ie. You can also complain to the Irish Data Protection Commission (dataprotection.ie).

Cookies

We use essential cookies for login + the booking flow. We do not use analytics or advertising cookies.
